Add Event Request

Scheduling of Facilities:

  1. Requester to review the schedule of the facilities on the web at www.cup.edu/events to see if the facility is available at the time requested. Note that the event set-up and tear down times are not indicated and therefore may affect the availability time of the facility.
  2. Five (5) business days notification prior to an event is requested. *Note Request for Computer labs - In the event that special software must be loaded onto the computers in the Computer Training facility (EST), permission must be obtained from the Office of Lifelong Learning and authorization from Computing Services that software can be loaded. Authorized software will take a minimum of three weeks to be installed.
  3. If the requester is not associated with the University, proof of the proper insurance coverage must be submitted.
  4. A contact person must be designated for an event – does the contact person want their name to appear on the website.
  5. Those requesting the use of the Computer Training facility (EST 120) for the first time only are required to attend a lab orientation.
  6. Once President Armenti’s attendance is confirmed, Dee will flag the event as VIP.
  7. Events requiring multiple rooms – need to be noted and conveyed to the appropriate contacts.
  8. Confirmations will be sent to requester via e-mail, phone or hard copy sent by U.S. mail.
  9. Coordination of parking, food service, equipment, etc. is the responsibility of the requester.
  10. Cancellations or changes should be submitted as soon as possible.
  11. Requester should NOT proceed with ADVERTISING or PRINTING of other materials until CONFIRMATION of event is received!
