Outlook Web Access Guide

Faculty, staff and students of the University may access their campus e-mail from any computer connected to the internet.  This guide details the following:

  1. Connecting to Outlook Web Access

  2. Sending an E-Mail Message

  3. Replying to an E-Mail Message

  4. Deleting an E-Mail Message

  5. Emptying the Deleted Items Folder

  6. Forwarding an E-mail Message

  7. Attaching Files to an E-Mail Message

It is recommended that you use Internet Explorer 5.0 or higher to utilize web access.

Connecting to Outlook Web Access

  1. Open your web-browser

  2. Direct your browser to www.cup.edu, then click quick links, then click the check email link.

  3. Read the notice then click continue, and a logon box will appear

  4. Enter your Windows username in the 'User Name' field

    Format:           username@cup.edu
    Example:         the1234@cup.edu
     

  5. Enter your Windows password in the password field

  6. Click OK

  7. If a security box appears, click OK

Sending an E-Mail Message

In order to compose a new e-mail, follow these steps:

  1. Click the New Icon  , which will open a new window

  2. In the 'To' field, enter the recipient's e-mail address

  3. Enter the subject of the e-mail in the subject field

  4. In the large white box below the subject field, type your message

  5. Once complete, attach any needed attachments

  6. Click the Send Icon

  7. The box will automatically close and the message sent.  A copy of the message will be kept in your 'Sent' folder

Replying an to E-Mail Message

If you receive a message you would like to respond to, follow these instructions:

  1. Open the message you would like to respond to

  2. Click the Reply Icon .  This will open a new box

  3. You will see their message quoted below in the large white box.  Type your reply at the top of the white box

  4. Once complete, attach any needed attachments. To do this see below for more details

  5. Click the Send Icon

  6. The box will automatically close and the message sent.  A copy of the message will be kept in your 'Sent' folder

Deleting an E-Mail Message

After you have read your messages you will want to delete unimportant ones to conserve space.  Follow these instructions to delete your unwanted mail:

  1. If the message you would like to delete is open, click the X Icon .  The message will be deleted and moved to your Deleted Items folder

    NOTE: Another e-mail from your Inbox will appear on the screen, do not double click the X Icon!
     

  2. If the message you would like to delete is not open, highlight it and click the X Icon .  The message will be deleted and moved to your Deleted Items folder

Emptying the Deleted Items Folder

After you have deleted e-mail you will want to empty the Deleted Items folder.  This frees up space for more e-mail and storage.

  1. On the Folder View, right click the Deleted Items Folder

  2. Select 'Empty Deleted Items'

  3. A box will appear asking if you are sure, click OK.  The folder is now empty

Forwarding an E-Mail Message

If you receive a message you would like to send on to someone else, follow these steps:

  1. Open the e-mail you would like to forward.

  2. Click the Forward Icon .  This will open a new box containing the message

  3. At the top of the white box, type anything you would like to add

  4. Once complete, click the Send Icon

Attaching Files to an E-Mail Message

If you need to attach a file to an e-mail you are sending, follow these instructions:

  1. While composing the message, click on the Paperclip Icon

  2. Click on Browse

  3. Select the file located on your computer you would like to attach

  4. Click Open

  5. Click Attach

  6. To add more files follow steps 2-5 until all files are attached

  7. Check the list to make sure it is correct.  Remove incorrect file attachments by checking the box next to them and then clicking 'Remove'.

  8. Click Close to return to the e-mail, the attachments will be displayed below the subject line.

    NOTE: You can return to the attachment menu at any time during the e-mail's composition to add or remove attachments!

Change Your Password

Follow these steps to change your Windows password:

 

  1. Click on Options, located in the top right of the screen

  2. Click on Change Password

  3. Enter your current password in the Old Password field

  4. Enter the new password you wish to use in the New Password and Confirm Password fields

  5. Click Save

  6. Click OK to log in with your new password

  7. Click on the Inbox in the Folder View to return to your e-mail

Exiting Outlook Web Access

To exit Outlook Web Access, close you browser window.  To insure you are properly logged out, you must close ALL browser windows.
