Antivirus Guide

Viruses cause a lot of problems for organizations, networks, and even individual PCs.  This guide is to inform and assist users on how to deal with the issue on CALU computers.  This Antivirus Guide details the following:

  1. The Antivirus Software - Trend Micro's Officescan

  2. Handling a Virus

  3. Scanning for Viruses

  4. Reporting a Virus

  5. Good Antivirus Practices

The Antivirus Software

The software used to prevent the spread of viruses on CALU campus is Trend Micro's Officescan.  It automatically initializes every time a user logs on to a campus computer running Windows, and is represented by its icon on the taskbar

A user has no control over the virus definition file, options involving the program, and cannot terminate the application.  Officescan will check each file that the computer accesses, insuring that no viruses are present.  If a virus is found Officscan will first try to Clean the file.  If unable to do so, it will attempt to Delete the file.  If that fails the user should contact the Help Desk.

You can find additional information about Trend Micro products at their website, located at www.trendmicro.com

Help desk can be reached by phone at x5911 or by e-mail at helpdesk@cup.edu

Handling a Virus

If an infected file is opened on the computer Officescan will detect the virus and a Warning Pop-Up Box will appear on your screen.  To handle the virus threat, follow these instructions:

  1. Write down the location of the virus.  It will be detailed in the Warning Pop-Up Box
  2. Click OK
  3. Follow the instructions for Scanning for a Virus.  If a virus is found, return to these instructions
  4. Officescan will report on any virus it finds.  If it could not clean the infected file, it will delete it
  5. View the report to see which action Officescan performed
  6. If it could not clean or delete the file, call the help desk immediately at x5911 or e-mail them at helpdesk@cup.edu
  7. It is always a safe procedure to scan a possibly-infected file again

    Scanning for Viruses

As mentioned before, Officescan checks each file accessed by the computer.  However, you may want to scan the computer, your student drive, a disk, or a CD for potential hazards.

To scan for viruses, perform the following:

  1. Go to Start -> Programs -> Trend Micro OfficeScan Client -> OfficeScan Client

  2. Select what you would like scanned by clicking the small box to the left of the drive

  3. Click the Scan Icon

example:  A Floppy Disk and a student's N: will be scanned for viruses

  4. Officescan will now scan the selected items for viruses.  At the end of the scan process a message will appear informing you if there were any viruses found.  If no viruses were found, simply click OK and then Exit the Officescan Client.  If a virus was found, please follow the instructions on Handling a Virus.

  Good Antivirus Practices

There are several things that you can do to help protect your PC and the campus from virus infections.

  1. Always scan a floppy disk before opening any files that are on the floppy, regardless of who used it last, or who gave the disk to you.
  2. If you receive an e-mail from someone unfamiliar to you and it has a file attachment, do not open the attachment!  If you are sure the e-mail is spam or junk, simply delete the e-mail and empty the Deleted Items Folder.
  3. If you download a file from the Internet, immediately scan the folder that it was downloaded to, before opening or running the file.
  4. If you receive a warning that Officescan has found a virus, don't ignore it!  Follow the Handling a Virus guidelines.

If you require additional help dealing with viruses, contact the helpdesk at x5911 or by e-mail at helpdesk@cup.edu
